Why Is Your PDF So Big in the First Place?
Most oversized PDFs fall into one of two categories, and it matters which one you're dealing with:
- Image-heavy PDFs — scanned documents, or PDFs full of high-resolution photos. These usually compress a lot, because images can be re-encoded at lower resolution or quality with minimal visible difference.
- Text-and-structure-heavy PDFs — reports, contracts, spreadsheet exports. These are often already fairly efficient, since text takes very little space to store. Compression here tends to be modest — you're mostly cleaning up internal file structure, not shrinking images that aren't there.
Setting Realistic Expectations
A 40MB scanned document might genuinely shrink to 5-10MB with real compression. A 2MB text-only PDF might only drop to 1.8MB — not because the tool isn't working, but because there wasn't much to compress in the first place. If a compressor promises dramatic shrinkage on every file regardless of content, be skeptical of that claim.
What Actually Happens During Compression
Behind the scenes, compression typically involves: reducing embedded image resolution and quality, removing duplicate data structures the PDF format allows for, and stripping unnecessary metadata. None of this touches the actual text of the document — text remains exactly as sharp and selectable as before.
When Compression Won't Help Much
If your PDF is already been compressed once (for example, it was downloaded from a source that already optimized it), running it through another compressor usually yields little to no further reduction — there's simply nothing left to trim.
